One of the big topics during the last council election was an
apparent lack of transparency in the Thunderbird project. To
rectify this, the new council decided to try out different ideas
on how to inform the community proactively and increase community
involvement.
<br>
<br>
One of the ideas we will pursue is a concise bi-weekly summary of
all topics we discussed in the council. This not only includes
meetings, but also discussions on mailing lists or on matrix.
<br>
<br>
While the goal is to give you a complete picture of our work, we
sometimes deal with sensitive data. This may lead to a few
intentionally vague statements and – in extreme cases – some
aspects not appearing at all. Be assured that we try to keep those
to a minimum.
<br>
<br>
The goal is to have these "Council;DR" summaries out with as
little delay as possible, so a larger community has a chance to
weigh in before any bigger decisions are made. This email contains
the very first issue, spanning everything from the first
transitional council meeting on 2020-10-26 to the council meeting
on 2020-11-23.

<br>
We currently plan to release a new issue one week after each
council meeting, but as we're still experimenting that may be
subject to change.
<br>
<br>
As this format is very new, please provide feedback about
everything you like or dislike. If you are not subscribed to the
mailing list or want to give private feedback, feel free to
contact me directly. I'm looking forward to your thoughts and hope
this format gives you an idea what the council is involved in :)

Council;DR Weeks 2020/44-47
<br>
<br>
While the last few weeks were used to bring the new council
members up to speed, we are now planning a strategy meeting to
kick off the discussion about Thunderbird's future project
structure.
<br>
<br>
<br>
New council onboarding:
<br>
- The mandatory NDA for council members was discussed and relaxed
<br>
slightly, then signed; some members still argue for future
changes
<br>
- Chair, secretary and treasurer are in the process of getting
elected.
<br>
- There are discussions about potentially doing paid team building
<br>
workshops with the council in the near future.
<br>
<br>
Project Structure / Governance:
<br>
- Thunderbird has grown in the last years, and the current
structure
<br>
starts to make things difficult to manage.
<br>
- We will have a dedicated strategy meeting soon. The goal is to
<br>
figure out the big picture first – in subsequent meetings we can
then
<br>
move on to discussing options for the actual organizational
structure.
<br>
- There are ongoing discussions on improving transparency with
respect
<br>
to our project structure.
<br>
<br>
Financial:
<br>
- Thunderbird is doing well financially, donations are increasing.
<br>
- December is donation drive month. We will be running a campaign
on
<br>
social media, via donor newsletter, etc.. Please spread the
word!
<br>
- There are ongoing discussions about releasing more financial
<br>
information to the public.
<br>
<br>
Employees:
<br>
- We renewed some employment contracts.
<br>
- There are 2 open positions:

- While we currently use external hiring services, being owned by
MZLA
<br>
might enable us to (also) hire directly in the foreseeable
future.

- There are ongoing discussions regarding the performance review
<br>
process used for employees.
<br>
- There are ongoing discussions for the council to publicly
welcome new
<br>
employees as part of their onboarding process.
<br>
- There are ongoing discussions to publish more details about our
<br>
current employees, as requested by the community.
<br>
<br>
Communication / Transparency:
<br>
- There is no clear position in the council on how we can keep the
<br>
community informed, while still having time for other things.
<br>
- We will thus initially try out multiple ideas on how to improve
<br>
transparency, then decide what to keep / improve based on
feedback
<br>
and the amount of effort required:
<br>
- Meeting minutes (active)
<br>
- TL;DR-Style discussion summaries (active)
<br>
- Town hall meetings (proposed)
<br>
- Quarterly formal reports (proposed)
<br>
- More active sharing of one-off information
<br>
<br>
The CPG process (Community participation guidelines):
<br>
- Some community members feel that past CPG actions were not
always
<br>
handled correctly. Especially without access to privileged
<br>
information, a lot of questions were left open and caused
mistrust.
<br>
- Interested council members will meet with the Mozilla CPG team
to
<br>
determine how to improve both the process and communication
around it.
<br>
- There are ongoing discussions on how to learn from past mistakes
<br>
and to communicate regarding past incidents and the CPG in
general.
<br>
<br>
Miscellaneous:
<br>
- We will meet the MZLA board in December to get to know each
other.
<br>
- We have a new partnership, that should be announced soon-ish.
<br>
<br>

works with confidential information that cannot be shared with the
public.
